HR Coordinator/Administrative Assistant

The HR Coordinator/Administrative Assistant is a key support role for the Human Resources team.  Responsibilities include administrative; recruiting and benefits support; HR reporting; analytics and data management; event planning and communications.

Core Responsibilities:

  • Provide administrative assistance to the Chief Human Resource Officer that includes travel arrangements, calendar and meeting management, processing expenses, and other projects/tasks as requested.
  • Process and manage the files for employment verifications and unemployment compensation filings.  Maintain employee files. 
  • Coordinate the scheduling of interviews with candidates; administer pre-employment paperwork and conduct background and reference checks on candidates/new hires.
  • Manage job postings on company intranet, internet and other job boards. Assist with new hire orientation and onboarding new employees.
  • Ensure our company is compliant by processing I9 forms and E-verify for new employees.
  • Manage and track the company’s Tuition Reimbursement program and other employee benefit programs.
  • Provide general support to the HR Team as requested.
  • Coordinate companywide and office events (blood drive, United Way Campaign, etc.)
  • Maintain and update the company Intranet with all HR related materials.
  • Manage the inventory of office supplies and order supplies as needed for the department.
  • Maintain records according to established retention policies and procedures.

Knowledge & Experience:

  • Associate’s degree or equivalent education and experience.
  • Two or more years of experience in an administrative assistant role or experience in Human Resources.
  • Attention to detail and good organizational skills.
  • Excellent listening and customer service skills.
  • Excellent written and verbal communication skills.
  • Ability to deal with extremely confidential information.
  • Ability to deal with employees at all levels of the organization.
  • High degree of professionalism.
  • Acute sense of urgency and ability to manage multiple priorities.
  • Demonstrates a focus to detail.
  • Mastery in Microsoft Word, Excel, Power Point.
  • Ability to work with independently with minimum supervision.
  • Experience with HRIS and Payroll Systems a plus.
  • Knowledge of office and administrative procedures, concepts, principles and practices.
  • Ability to work well as a member of a cohesive team
