International Team Coordinator

Highlights International is a fast-growing team reaching dozens of countries through strategic business partnerships.  This new role, the International Team Coordinator will be an important central role for managing key administrative and team activities. This role encompasses administrative activities such as travel research, management and booking, calendar scheduling, and visitor hosting logistics. This role will have added responsibilities including supporting the team on tradeshow and conference activities, internal and external communications, and ensuring the successful delivery of products and marketing materials to international destinations.

Core Responsibilities:

  • Administrative support for VP, Director and Sales Team including calendar management, expense management, organization, etc.
  • Travel research, planning and booking for some individual trips, group international travel, and conference attendance, including creating and maintaining complex itineraries
  • Hosting global visitors through managing logistics, scheduling, and other details as driven by each visitor and circumstance
  • Support global tradeshow shipping, logistics, and other related activities
  • Scan, store, and manage contract signing activities and contract archiving
  • Shipping and tracking of samples to global sales team and prospects
  • Creating and documenting meeting agenda’s and recording meeting minutes
  • Coordinating Zoom sessions for Sales team.
  • Work collaboratively with all internal departments, including customer service, product development, marketing colleagues, and production/editorial colleagues.
  • Assist with conferences and events activities with internal team and each local tradeshow representative/organizer

Qualifications:

  • Strong organizational skills
  • Bachelor’s degree, preferably in business, marketing or operations
  • 2+ years’ work experience in professional environment
  • Strong interpersonal skills and ability to work independently
  • Demonstrated attention to detail and strong follow-through
  • Ability to collaborate interdepartmentally with excellent communication skills
  • Familiarity with a CRM or similar software preferred
  • Work occasionally requires receiving or shipping sample boxes, potentially up to 50 pounds.
