Meeting Planner

The Meeting Planner is responsible for working in conjunction with the various team members of the SDE/Stenhouse organization as the primary individual responsible for the logistics management of all assigned conferences, seminars and events.  As a member of the Public Events department, the Meeting Planner will be responsible for handling multiple events per year.  This individual should be comfortable working in a deadline driven environment, be a team-oriented person with strong interpersonal skills, have the ability to multi-task, have solid computer skills, and have a strong understanding of the meeting planning industry.

This position is responsible for, but not limited to, the following:

  • RFP creation, site selection, and contract negotiations for assigned events
  • Develop relationships with hotels/venues in targeted locations for future event needs
  • Budget management for all assigned events to ensure they are at or under budget
  • Communicate across departments the pertinent event information related to marketing, program design, travel, and event fulfillment
  • Being flexible with deadlines and able to prioritize tasks in a dynamic environment
  • Plan and manage logistic requirements for all aspects of events to include accommodations, F&B, AV, room sets, and internet
  • Provide detailed event information to the assigned event coordinator to ensure successful execution of the event onsite
  • Provide post-event analysis and invoice reconciliation
  • Act as event lead onsite at select events, as needed
  • Continuously recommend improvements and cost effective meeting planning
  • Maintain pre- and post-event data in SDE/Stenhouse systems
  • Actively participate in company and department meetings
  • Act as project lead, as needed

The ideal candidate will be able to demonstrate the following skills & qualifications:

  • A college degree or equivalent business experience
  • 3-5 years of experience meeting planning
  • Knowledge of contractual language pertaining to meetings
  • Ability to plan, manage and execute multiple events simultaneously
  • Demonstrated ability to work in a fast paced and changing environment and meet tight deadlines
  • Strong written and oral communication skills
  • Collaborative and team environment attitude required
  • Skilled at working effectively with cross functional teams
  • Exceptional organizational and attention to detail skills are required
  • Adaptable and able to respond to changes in trends, processes, expectations, and initiatives
  • Strong problem solving abilities and the ability to make decisions
  • Ability to build strong working relationships with internal and external partners
  • Proficiency with Microsoft Office (Office365, Outlook, Excel, Word, and PowerPoint)
  • Ability to travel to events, as needed (15-20%)
