Accounts Payable Part-Time Clerk

The Accounts Payable Clerk is responsible for A/P and G/L functions for all companies.  They will process A/P invoices, journal entries and process corporate credit cards.  They will also receive, process and distribute mail and process purchase orders.

Core Responsibilities:

  • Receive and process accounts payable invoices daily for multiple companies.
  • Enter manual payments into AP system (wire transfers, auto debits).
  • Ensure that A/P invoices have proper approval and correct account coding.
  • Receive, process and distribute incoming mail (i.e. opening, matching invoices to purchase orders and distributing mail to the appropriate Departments).
  • Process and issues W-9’s for all companies.
  • Process adjusting journal entries.
  • Managed Aged Payables (i.e. outstanding credits, invoices on hold, reconcile employee advance & payables in suspense accounts).
  • Prepare payables due for check/ACH runs.
  • Preparation and processing of 1099’s.
  • Proper filing of check & ACH copies for all companies.
  • Review and process Concur T&E expense reports.
  • Handle vendor queries (payment detail, outstanding invoices).
  • Audit requests.
  • Filing as needed.
  • Other duties and special projects as assigned.


  • High school diploma or equivalent. 
  • Some Accounting, Business and/or Bookkeeping education preferred.
  • 2+ years of accounts payable experience.
  • Knowledge of Great Planins accounting software a plus.
  • Working knowledge of MS Excel and Word.
